SAMS_AI
AI-powered School Administration & Management System
A comprehensive school administration and management platform designed to consolidate admissions, billing, student records, academic reporting, notifications, and AI-assisted administrative workflows into a unified system.
01 / CONTEXT
The problem
Schools often operate complex academic and financial workflows across multiple sessions and terms. The system must maintain data integrity while calculating real-time balances, arrears, grades, and academic aggregates, particularly during high-traffic registration periods.
02 / APPROACH
How I built it
The implementation uses normalized relational models with explicit database transactions, targeted indexing, asynchronous workers for computationally expensive operations, and Redis caching for frequently calculated values.
03 / CONSTRAINTS
What had to hold
Complex academic sessions and term structures Real-time fee balances and arrears High registration-period traffic Multiple institutional user roles Financial data integrity Protection of student personal information
04 / OBJECTIVES
Definition of done
• Automate student admissions and applications • Centralize student and staff records • Automate fee billing and payment reconciliation • Generate academic reports and transcripts • Provide AI-assisted administrative queries • Support student performance analytics
05 / THE SYSTEM
Architecture
Modular MVC application A modular monolith organized around Admissions, Bursary, and Academics domains. Transactional data layer Explicit transaction boundaries protect complex student and financial state changes. Asynchronous processing Queued workers process batch invoices, report cards, and notifications. Redis caching Frequently computed fee balances are cached to reduce repeated database calculations. Role-based access Administrative, bursary, teacher, parent, and student permissions are separated. Tenant-aware architecture Institutional data is isolated through school-specific scopes.
06 / DECISIONS
Key decisions
Use explicit database transactions for financial and academic state changes Why: Complex billing and academic workflows require reliable multi-step state changes. Move batch operations to background workers Why: Invoice and report generation should not block interactive administrative workflows. Cache computed fee balances Why: Frequently accessed financial calculations need fast response times during peak periods.
07 / SHIPPED
Deliverables
• Admissions workflow (delivered) — Automated student admissions and application processing. • Financial management (delivered) — Fee billing, reconciliation, and receipt generation. • Academic management (delivered) — Gradebook, academic reporting, and transcript workflows.
08 / LESSONS
What I'd keep
• Educational institutions often have non-standardized calendar workflows. • Academic data models must support split terms, scholarship deductions, and partial installment plans. • Institutional software must avoid hardcoding assumptions about academic calendars.
